About Us

The Brixton Practice is a thriving psychotherapy and counselling practice founded by psychotherapist Nathan Claxton. We’re a non-traditional ‘clinic’ offering therapy rooms to rent for an expanding community of self-employed, independent therapists, alongside our recently launched Low-Cost (LC) Service, in which volunteer trainee therapists offer low-cost sessions as part of their supervised clinical training.

Our aim is to provide a supportive, collaborative environment where practitioners, trainees, and clients alike can feel empowered and connected. As we expand to new sites and continue to grow our LC service, we’re looking for someone who can help us thrive both behind the scenes and at the front desk- keeping the practice running smoothly and the humans at its core supported.

About the Role

As Practice Manager, you’ll be the operational heart of the practice- handling the day-to-day flow of client referrals, practitioner onboarding, LC service coordination, site logistics, and systems administration. You’ll also support the Practice Founder, Nathan Claxton, with personal admin tasks and play a key role in overseeing trainee practitioners and supporting new premises.

This role is ideal for someone who can work autonomously, move with ease between detailed administrative tasks and people-facing interactions, and take genuine pride in creating a supportive, well-held environment for both practitioners and clients. We’re looking for someone who enjoys project management, feels energised by helping to build, expand, and evolve our offerings and community into the future, and who’s excited to refine and strengthen the systems we already have in place. As a core member of the team, you will also have your own profile on our website.

What You’ll Be Doing

  • Systems & Administration

  • Managing incoming client referrals; new and existing practitioners; and documentation via Therapeuta, Jane App, Docusign, and GSuite

  • Updating and maintaining our website on Squarespace

  • Using Xero/Hubdoc for financial admin in conjunction with our bookkeepers/accountants.

  • Coordinating communications, schedules, and team messages via WhatsApp, Google Calendar, etc.

  • Monitoring third-party platforms like UK Therapy Rooms and Counselling Services

  • Day-to-Day Practice Operations

  • Responding to incoming referrals and assisting trainee practitioners with LC service client booking

  • Monitoring the practice phone number

  • Monitoring practitioner and client payments and managing practitioner invoicing

  • Organising insurance and contract renewals

  • Onboarding new practitioners and managing placement trainees

  • Editing and updating practice resources and web content

  • Assisting with safeguarding matters as needed

Site & Facilities Support

  • Supervising building inductions, key cutting and handover for new practitioners

  • Keeping therapy rooms stocked, clean, and welcoming

  • Supporting the setup and smooth running of new practice sites

  • PA Support to Practice Director (Nathan)

  • Scheduling non-client appointments and updating calendars (e.g., via Jane)

  • Drafting emails and corresponding where needed

Who You Are

  • Highly organised, proactive, and confident managing multiple priorities

  • Someone comfortable taking initiative and managing your own work load

  • A warm, professional, and reliable point of contact for clients, including those who may be in vulnerable situations

  • Tech-savvy and comfortable learning and navigating multiple systems

  • Grounded and friendly, able to support practitioners and trainees with clarity and calm

  • Experienced in admin or operational management (ideally in a therapeutic, healthcare, or other client-facing setting, but not essential)

  • Able to hold boundaries, maintain confidentiality, and communicate sensitively and effectively

  • Comfortable working independently and coordinating a team

  • Confident taking initiative and working autonomously

  • Available for fixed weekly hours: Mondays 1–3pm and Thursdays 3–5pm

  • Looking for a role with the opportunity to grow, potentially into full-time work, as the practice expands
